Saskatoon Issues (“we”, “us”, “our”), operating at saskatoonissues.ca, provides this community issue platform for residents of Saskatoon neighbourhoods to raise and support local issues. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

Information we collect

When you submit an issue, vote on an issue, or contact us by phone, we collect:

  • First name and last name
  • Phone number
  • Email address
  • The content of any issue you submit or describe, including through a phone call
  • Basic technical information such as browser type and general location, used only to operate the site

How we use your information

We use the information collected to:

  • Verify that each person votes only once per issue
  • Contact you with updates about issues you have submitted or supported
  • Send you occasional community updates, engagement messages, and information about the platform by text, email, or phone
  • Identify patterns and priorities across submitted issues in order to make informed, well supported requests to the City of Saskatoon or other relevant authorities on behalf of the community
  • Improve and maintain the platform

We will never sell, rent, or trade your personal information to any third party for their own marketing or commercial purposes. Information is used solely to operate this platform and support community improvement efforts.

Text and email communications (CASL compliance)

By checking the consent box when you submit an issue or vote, you provide express consent, as required under Canada’s Anti-Spam Legislation (CASL), to receive commercial electronic messages from Saskatoon Issues at the email address or phone number you provide. These messages may include updates on the issue you submitted or supported, general community engagement content, and platform announcements, sent by email or text message.

Every message we send will identify us as the sender and include a valid mailing address, and will include a clear and working way to unsubscribe. You may withdraw your consent at any time by using the unsubscribe link included in any message, or by contacting us at +1 639-638-4372. We will process unsubscribe requests within 10 business days, and the option to unsubscribe will remain available and functional for at least 60 days from your last message. Withdrawing consent does not affect the status of any issue you have already submitted or voted on.

Standard message and data rates may apply to text messages. Consent to receive these communications is not a condition of using the Platform to view public issue boards, but is required in order to submit an issue or cast a vote, since that action requires providing contact information subject to this consent.

Data deletion and unsubscribe requests

You may request that we delete your personal information, or unsubscribe you from all future communications, at any time by contacting us at +1 639-638-4372 with your name, phone number or email address on file, and a description of your request. We will confirm receipt of your request and complete it within a reasonable time, and no later than 30 days, in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Deleting your personal information may result in the removal of any issue or vote associated with that information from the Platform. We may retain limited records where necessary to comply with legal obligations or to maintain the integrity of vote counts, in which case any retained record will be stripped of personally identifying information wherever possible.

Phone submissions and AI receptionist

If you contact us by phone to report an issue, your call may be answered by an automated assistant. Calls may be recorded or transcribed for the purpose of accurately logging your issue and passing the relevant details to the appropriate team or authority. By calling, you consent to this recording and transcription for these purposes.

How we share information

We may share the substance of an issue, and relevant supporting details, with the City of Saskatoon, municipal departments, elected officials, or other relevant authorities when doing so supports resolving that issue. We do not share your personal contact information with these parties unless it is necessary to progress the specific issue you submitted, or unless you have given explicit permission to do so.

We may also share information with service providers who help us operate the platform, such as hosting and communication providers, solely for the purpose of running this service, and under obligations to protect that information.

We do not sell your personal information to anyone, under any circumstances.

Data retention

We retain submitted information for as long as reasonably necessary to operate the platform, respond to community issues, and maintain accurate records of past community priorities. You may request deletion of your personal information at any time, subject to any legal or operational requirements that may require us to retain certain records.

Your rights

You may request access to the personal information we hold about you, request corrections to inaccurate information, request deletion of your information, and withdraw consent for future communications at any time. To make any of these requests, contact us using the details below.

Children

This platform is not directed at or intended for use by anyone under the age of eighteen. We do not knowingly collect personal information from anyone under eighteen. If you believe a minor has submitted information to this platform, please contact us so we can remove it.

Service availability

This platform relies on third party hosting, communication, and infrastructure providers to operate. We do not guarantee uninterrupted or error free access to the platform, and we are not responsible for outages, delays, or data loss caused by circumstances outside our reasonable control.

Changes to this policy

We may update this Privacy Policy from time to time. Continued use of the platform after changes are posted constitutes acceptance of the updated policy. The date at the top of this page reflects the most recent update.
